We are Keith & District Men’s Shed, (KDMS), a small, non-profit making voluntary organisation and Scottish Registered Charity that operates for the benefit of our members.

2. About this policy
This policy explains how, when and why we collect personal information about our members, non members or Sole Traders, how we use it, how we keep it secure and their rights in relation to it.
Member’s data is collected from the form they complete when applying to become a member of Keith & District Men’s Shed. Contact information for non members or Sole Traders will be collected as and when necessary for KDMS business purposes. When communicating with non members or Sole Traders we will only keep their information for as long as is necessary to complete our business with them and then it will be deleted.
We may collect, use and store your personal data as described in this Privacy Policy and when dealing with your personal data we will always comply with the General Data Protection Regulations, (GDPR). Further details on the GDPR can be found at the Information Commissioner, (ICO), website (www.ico.gov.uk), if you do not have internet access the ICO contact details are on page three of this document.

As a non-profit making small voluntary organisation KDMS is exempt from registering with the ICO and is not required to have a Data Protection Officer.
However, for the purposes of the GDPR, Keith & District Men’s Shed is the ‘Controller’ of all personal data we hold about you.
KDMS reserves the right to amend this Data Protection Policy without prior notice.

We have generally accepted standards of technology and appropriate operational security in place to protect personal data from loss, misuse, unauthorised alteration or destruction.
However please note that, where information is transmitted over the internet this can never be guaranteed as 100% secure.
5. Who else has access to the information you provide us?

Except where we are required to by Law KDMS will never share your personal data with any third parties without your prior consent (which you are free to withhold).
KDMS will never sell your personal Data.
6. How long do we keep your information?

We will hold your personal data on our systems for as long as you are a member of KDMS and for six years afterwards to comply with our legal obligations.

We will review your personal data every year to decide if we are still entitled to process it. If we decide that we are not entitled to process your personal data any longer we will stop processing it but we will retain it in an archived form in order to meet our legal obligations.
We will securely destroy your information once we no longer need it.

There is no charge for exercising your rights, if you make a request under these rights we must respond to you within 28 days.
